The right logistics partner makes it easy to get freight to Puerto Rico
Shipping freight to Puerto Rico might seem like a complex process, but with the right approach, it can be as straightforward as any other shipment. All it takes is getting a quote, booking your shipment, submitting the required documents and tracking the cargo. But proper documentation is critical for success.
The good news? Partnering with a logistics provider experienced in Puerto Rican shipments can make all the difference. They’ll guide you through the process, address any concerns and ensure everything goes smoothly.
Why does documentation matter?
Although it’s a U.S. territory, Puerto Rico has specific regulations and requirements for all incoming freight. Proper documentation ensures compliance with customs and legal requirements, such as U.S. federal regulations and Puerto Rican laws. It helps avoid delays by accurately declaring goods, which is crucial for maintaining efficient shipping timelines and managing costs related to duties, taxes and potential fines.
For some loads, Foreign Trade Zones (FTZs) are used to sort and store imported goods. Duties are deferred or eliminated based on where the freight goes next. Accurate paperwork is needed to gain this potential cost savings.
What’s the process for shipping to Puerto Rico?
Follow these steps for a successful shipment:
1. Choose a logistics provider
When choosing a transportation company to move your loads to PR, experience and trust are key. They are there to make sure your load gets to its destination and ensure that mishaps are handled properly. Working with a trusted provider allows you to sleep easy knowing your load will be delivered.
While shipments to Puerto Rico can be more complex than continental U.S. shipments, an experienced provider will be able to answer any questions and assist in having the correct paperwork in place.
2. Select the transportation method
There are multiple options for shipping freight to Puerto Rico. These include LTL and volume LTL, FTL, time-critical, expedite and air freight. For LTL and volume loads coming from the U.S., goods are consolidated into a 53-foot intermodal container and then unloaded at a distribution facility in San Juan before being delivered to their final destination by a local carting company. FTL moves are also transloaded into intermodal containers, with 53 and 28-foot containers used.
Time-critical and expedite loads, including air freight, are available for time-sensitive shipments. Your transportation provider can help you choose the shipping method that works best.
3. Prep your freight
Make sure to properly pack your load to withstand the different movements along the way to its final destination. You will want to use sturdy packaging and clearly label your goods with their’ destination address and any contact information.
4. Remember documentation
While products coming from the mainland U.S. won’t have to go through customs, there are specific documents needed, including a standard bill of lading, a commercial invoice, and an Electronic Export Information (EEI) filing (if the declared value of the shipment exceeds $2,500).
The commercial invoice should include a description and value of the goods, the consignee’s name, address and phone number, and the tax bond number or tax-exempt identification, if available.
If an EEI is required, most carriers can file it for you for a small fee. You can also file on your own through the U.S. Census Bureau Automated Export System (AES). The EEI needs to include the Schedule B number for your freight (available through the U.S. Census Bureau website), shipment description, weight and dimensions, declared value, shipper and consignee name, address and phone number, tax ID (EIN number) or tax-exempt confirmation, shipment license information, and Export Classification Control Number (if needed).
5. Arrange pickup and delivery
Be sure your transportation partner has the correct address for pickup and final delivery. Remember that someone should be available at the destination to inspect and receive your load upon arrival.
6. Track the shipment
Utilize tracking tools to stay updated on your shipment and keep in contact with your broker to avoid mishaps or miscommunications.
